General
These are detailed notes and reminders as to what is needed
to make the SMF a success. They are intended for the students that are planning
and preparing for the event.
The event is now planned and hosted by the Green Campus Group.
Schedule of Events for the SMF
Fall semester
March 15 Apply for supplementary funding from the Student Activities (K. Drenner)

Date of Fair Begin setup at 8 a.m.
Venue
The Fair should be located on the South Campus if there are other events that
might have conflicts with the music. There should be shelter from winds and sun somewhat. Potential locations for the event are on
the Panther Plaza, on the north lawn of Crawford Science Tower, south of
Clemente Center, and in the
future, perhaps southwest of Olin Complex.
Stage
The stage must be elevated somewhat for a good view from the seating area.
Music
The music should be diverse over the course of the event. Professional musicians
are preferable, and student musicians should be exceptional.

Workshops
A
few workshops should be scheduled for the public to learn more.

There are several videos that might be presented.

Support Items and Issues
The
Restrooms
The area must be close to building restrooms to avoid the use of "portapotties".
Estimated attendance suggests one restroom for each TBD persons.
Water
Building drinking fountains are preferable.
Advertising
The event must be heavily advertised to the general public well in advance and
more frequently the week of the event.
Radio and TV
WFIT staff have offered support in many ways.
Brochures, Programs, and Handouts
The program of events serves to orient the public and students to what happens
and where it is.
Staff Positions
There are certain functions required to successfully host a Solar Music Fair:
President The leader holds planning and
progress meetings.
Vice-President Assists the leader and takes over in absence.
President-Elect Assists the leader and prepares to
assume presidency when the president graduates or declines to serve.
Treasurer Manages money, receives donations, disburses funds
for expenses.
Publicity Chair Manages all aspects of interactions with
radio, tv, and newspapers to ensure good event publicity. Obtains copies of
handouts by arranging printing.
Donations Chair Solicits donations from local businesses.
Facilities Coordination Chair Facilities must receive a
request to set up the stage, provide TBD chairs and TBD tables, and provide
electrical extension cords should an exhibitor require them.
Performance Chair Arranges for a music program manager, costs
the musician fees.
Workshop Chair Arranges for a place for computer or DVD
showings, solicits speakers.
Video Chair Arranges for a place for computer or DVD showings,
obtains permissions, collects donations at showings.
